📌 Position Overview
We are looking for a proactive Logistics and Admin Assistant to support the smooth functioning of our Janakpur Field Office. The role involves managing procurement, logistics, stock, vendor coordination, office facilities, and admin duties in compliance with donor and organizational guidelines.
✅ Key Responsibilities
🔧 Logistics Support
- Assist in procurement, vendor management, and purchase orders.
- Maintain supplier records, collect invoices, and track payments.
- Ensure quality checks of goods and manage stock/inventory.
- Organize venues and materials for trainings, workshops, and events.
- Archive logistics and project documents on PIN cloud.
- Conduct physical stock counts and manage warehousing.
🏢 Office Administration
- Oversee office supplies, utility payments, and maintenance.
- Supervise support staff: cleaner, cook, and security personnel.
- Manage IT infrastructure (internet, servers, etc.).
- Handle government visits (banks, tax offices, etc.) for official purposes.
- Maintain attendance sheets, visitor logs, and correspondence registers.
🍽 Food & Facility Management
- Manage office food services and coordinate food handling logistics.
- Support hygiene and cleanliness standards in office and kitchen areas.
📄 Other Duties
- Support admin tasks and reports as requested by the supervisor.
🎓 Qualifications & Experience
- Education: Bachelor’s degree in Business Studies, Finance, Commerce, or related field.
- Experience: Minimum 2 years of experience in logistics and administration (preferably in NGO/INGO sector).
- Driving License: Mandatory – Must have a valid two-wheeler license.
- Skills:
- Strong knowledge of procurement and inventory processes.
- Proficient in MS Office (especially Excel).
- Ability to prioritize tasks and meet deadlines.
- Fluency in Nepali and English (local languages are a plus).
